This Privacy Policy explains how SyncaRemt LLC ("SyncaRent," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit our websites, contact us, create a business account, or use our hosted rental websites, dashboards, applications, APIs, and related services (collectively, the "Services").

1. Scope and our role

This Policy applies when SyncaRent determines why and how personal information is handled, such as information from our marketing website, business customers, account administrators, and direct support communications.

Rental businesses that use SyncaRent may collect information from their renters, drivers, employees, and other users through a website or account that we host. For that information, the rental business generally determines the purposes of processing and SyncaRent processes the information on its behalf. Questions about a rental business's practices or a specific reservation should be directed to that business first. We will assist our customers with appropriate privacy requests as required by law and our agreements.

This Policy does not govern independent third-party websites or services, even when they are linked to or integrated with the Services.

2. Information we collect

Information you provide

  • Account and identity information: name, username, business name, job title, account identifiers, password credentials in protected form, and authentication information.
  • Contact information: email address, telephone number, mailing or business address, and communication preferences.
  • Business and rental information: inventory, rates, availability, branding, policies, reservation records, renter and driver details, uploaded documents, messages, claims, consignment records, and support content.
  • Transaction and billing information: subscription selections, charges, invoice details, payment status, refunds, disputes, payment-provider account identifiers, and limited payment-method details such as brand and last four digits. Full payment credentials are generally collected directly by the selected payment processor.
  • Communications: information submitted through contact forms, calendar bookings, email, phone, text messages, surveys, demonstrations, and support requests.
  • API and integration information: configuration details, credentials or tokens in protected form, webhook events, and data exchanged with integrations you enable.

Information collected automatically

  • IP address, browser type, device type, operating system, language, and approximate location derived from IP address;
  • pages, features, links, and actions used; referral URLs; timestamps; session and diagnostic information; and
  • security events, authentication attempts, error logs, and other information used to protect and operate the Services.

Sensitive information

Depending on how a rental business configures the Services, Customer Data may include driver's license details, precise pickup or delivery locations, insurance documents, identity documents, payment-related information, or other information treated as sensitive under applicable law. We process this information to provide the requested Services, follow customer instructions, protect against fraud, and comply with law. Do not submit sensitive information unless it is necessary, authorized, and requested through an appropriate Service feature.

3. Sources of information

We collect personal information:

  • directly from you when you visit, register, purchase, communicate, upload content, or use the Services;
  • from the rental business, account owner, or organization that provides you access;
  • from renters and other users who make reservations or interact with a hosted rental website;
  • from payment processors, calendar providers, communications services, identity or fraud-prevention providers, and other integrations;
  • automatically from browsers, devices, servers, cookies, logs, and similar technology; and
  • from public sources and business partners where permitted by law.

4. How we use information

We use personal information to:

  • provide, configure, host, maintain, and support the Services;
  • create accounts, authenticate users, manage permissions, and secure credentials;
  • process subscriptions, invoices, platform fees, transactions, refunds, and payment-provider connections;
  • support reservations, inventory, communications, documents, claims, reporting, and other requested rental workflows;
  • respond to inquiries, schedule demonstrations, provide onboarding, and deliver customer support;
  • send service, security, billing, transactional, and—where permitted—marketing communications;
  • monitor performance, troubleshoot errors, prevent fraud and abuse, and protect users and the Services;
  • analyze and improve features, usability, and business operations, including through aggregated or de-identified information;
  • enforce agreements, resolve disputes, and comply with legal, regulatory, tax, accounting, and law-enforcement obligations; and
  • carry out another purpose disclosed when information is collected or with your direction or consent.

5. How we disclose information

We may disclose personal information to:

  • Customers and authorized users: the rental business, account owner, administrators, and users authorized to access the relevant account or reservation;
  • Service providers: hosting, infrastructure, cloud storage, security, support, email, SMS, calendar, analytics, document, payment, and professional-service providers that help us operate;
  • Integrations: third parties you or an authorized user choose to connect to the Services;
  • Legal and safety recipients: courts, regulators, law enforcement, or others when we reasonably believe disclosure is required by law or necessary to protect rights, safety, and security;
  • Business transaction recipients: parties involved in an actual or proposed financing, merger, acquisition, reorganization, sale of assets, or similar transaction, subject to appropriate protections; and
  • Others at your direction: when you request, authorize, or consent to the disclosure.

We do not sell personal information for money. We also do not use personal information from the Services for cross-context behavioral advertising. We may disclose information to service providers and integrations for the business purposes described above, subject to applicable restrictions.

6. Cookies and similar technology

We and our service providers may use cookies, local storage, pixels, SDKs, and similar technology to keep users signed in, remember preferences, maintain security, understand use, diagnose errors, and operate website features. Third-party content—such as calendars, fonts, payment pages, maps, or embedded tools—may allow the provider to receive device and usage information under its own policy.

Most browsers allow you to delete or block cookies. Some features may not function correctly if required cookies or storage are disabled. Because there is not yet a uniform standard for browser "Do Not Track" signals, our Services do not respond differently to those signals. Where applicable law requires recognition of a supported universal opt-out signal, we will process it as required.

7. Email and text communications

We may send administrative, security, billing, reservation, and other service-related messages. These are necessary to operate the Services and generally cannot be opted out of while maintaining the relevant account or transaction.

You may unsubscribe from our promotional email using the link in the message or by contacting us. You may opt out of promotional text messages by replying STOP where supported. Message and data rates may apply. Rental businesses using SyncaRent are independently responsible for obtaining the permissions required for communications they send through their accounts.

8. Data retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain accounts, complete transactions, comply with customer instructions, resolve disputes, enforce agreements, prevent fraud, and meet legal, tax, accounting, and security obligations. Retention varies based on the information, account status, sensitivity, legal requirements, and whether information is stored in backups. When information is no longer required, we delete or de-identify it using reasonable measures, subject to lawful exceptions.

9. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls, authentication, encryption where appropriate, monitoring, and vendor controls. No system or transmission is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your credentials, configuring user access appropriately, and notifying us promptly of suspected unauthorized activity.

10. Your privacy rights and choices

Depending on where you live and subject to legal exceptions, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information; to limit or object to certain processing; to withdraw consent; or to appeal a decision concerning a request. You may also have the right to opt out of the sale or sharing of personal information or certain targeted advertising. As described above, SyncaRent does not sell personal information for money or use it for cross-context behavioral advertising.

To submit a request, email contact@syncarent.com or call 314-861-7889. Describe your request and the account, website, or rental business involved. We may verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may require proof of authorization. We will not discriminate against you for exercising an applicable privacy right.

If your information was submitted to a rental business using SyncaRent, please contact that business directly. When that business controls the information, we act on its verified instructions.

11. Children's privacy

The Services are intended for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information to us without appropriate authorization, contact us so we can review and take appropriate action. Users must be at least 18 to create a SyncaRent business account.

12. Data location and transfers

SyncaRent and its service providers may process information in the United States and other locations where they operate. Those locations may have privacy laws different from your jurisdiction. Where required, we use appropriate contractual or other safeguards for cross-border transfers.

13. Changes to this Policy and contact

We may update this Policy to reflect changes in our Services, practices, or legal obligations. We will post the updated Policy and revise the effective date. We will provide additional notice of material changes when required by law.
